INFO FOR TEAM DIRECTORS

On behalf of the Canada Salsa & Bachata Congress,
thank you for joining us in celebrating 20 years of Canadian Latin dance!

For your convenience, all important information for team directors can be found below:

  • Maximum time for performances: 3.5 minutes for professional teams, 3 minutes for semi-pro, amateur and student teams, 2.5 minutes for couples.

    Time restrictions will be enforced, please respect these time limits and choreograph accordingly.

    Submit music in advance: Please submit your music for each performance in advance. There is a music submission link on the Performer Info Page.

    Deadline to submit music: Friday September 15th

    How to submit: Visit the Music Submission Page to submit. Make sure that you include the EXACT team name in the message box (ie Steps Dance Company, Amateur Team) especially if your school/company has multiple teams performing at the event. If it is a couple performing, please include first and last name of each dancer.

    Music Format: MP3 with preferred bitrate of 320 (minimum bitrate of 220) or WAV format or Mac AIFF file.Make sure you are submitting good quality files, ie not music downloaded from YouTube.

    Any music not submitted in advance will only be accepted the day before your performance during the congress weekend in USB format (one track only), clearly labeled with name of the performance team/couple. 

  • All performers, competitors and instructors MUST register online in advance. The online performer registration is easy to use, secure and will automatically sync up with our registration database so that everything is quicker and easier for both you and us! 

    From anywhere on the congress site, click on "Tickets" or "Register Now". Be prepared with your credit card info. Click on "Performers". Choose Performer Pass. You can register for multiple people on your team at one time by entering quantity. Then click "Get Tickets". Click "Checkout" then enter your full name and team name. Then enter credit card info. 

    Team directors can submit all the info for themselves and their team or they may delegate the online registration process to one of their performers or they may have each performer input their own info.

    Our staff will be verifying all of the performer names that are submitted. Only team members that are actually performing at the Canada Salsa & Bachata Congress are eligible for the performer discounts. 

    There are no refunds on performer passes. If you can no longer perform but are still attending the congress, you can transfer the amount of your performer pass to the purchase of an attendee pass. If you would like to transfer your performer pass to a team member who has not yet purchased their performer pass, you may do so before September 15th. After September 15th there will be a $30 administration change fee. 

  • May 31st - Team Director must fill out the Performance Application Form. You will hear back from us within 2-3 weeks.

    May 31st - First Early Bird ends for Performer Passes.

    July 31st — Team Directors must email a list of all confirmed performers’ first and last names & email addresses to register@canadasalsacongress.com

    August 31st — The second Performer Early Bird ends!!  Save money by purchasing your Performer Pass on or before August 31st.

    On September 1st, the price of all performer passes will increase by $30-$40.

    September 1st - upload a rehearsal or performance video. Submission info and upload links will be posted on the Performer Info page soon.

    September 15th - submit music for each performance.

    September 18th - All Performers must purchase their performer pass online by September 18th. All performers must register by midnight on September 18th to ensure that their team's performance spot is reserved, their performer name has been verified by Congress registration staff and that they have been entered into our registration database. If a team has several dancers that have not purchased by September 18 we may revoke the team’s performance spot.

    After September 18th, any performer who has not already registered can still purchase online however the price will increase by $5 per day. Performer Registration will be closed on October 1st. Any performer that has not purchased by October 1st will have to pay for a full attendee pass, no exceptions. 

    All performers will receive a clear wristband at the event. The transparent wristband must be worn at all times including when you are on stage. If you remove or lose your wristband, you will need to purchase a new one at full price. NO EXCEPTIONS.  

    To pick up your performer pass, bring a piece of Photo ID and a print out of your performer registration confirmation with you to the registration booth at the Hotel. You MUST have a piece of photo ID to pick up your performer pass. Each person must pick up their own performer pass – you cannot pick up passes for your teammates.

  • Book your team’s Royal York hotel rooms online. Early bird rate is only guaranteed as long as rooms are available so make sure you book as early as possible! Early bird for hotel ends at 5pm on August 1st.

    Email us your hotel confirmation number and the name the room is booked under and you will be entered into draw to win prizes.

  • ALL Teams must be available to perform on any of the 3 nights (Friday, Saturday or Sunday) or the Sunday afternoon show. If you are unable to perform on a selected dated, you may have to forfeit the opportunity to perform and we may choose a team from our waiting list. Student and Amateur teams and some Semi-Pro teams will be performing on Sunday afternoon in our Emerging Artists Showcase (on the main stage). 

    Performance schedule will be posted 3 weeks before the event. If an out-of town-team is not available on a particular night due to flight times, they must inform Jennifer no later than August 1st at jennifer@canadasalsacongress.com

    The order of the performances will be posted by 6:30pm each day in the Green Room by the stage manager.  

  • This year, there will be NO formal tech rehearsal. All teams must submit a performance or rehearsal video by Sept 1st (details and link to upload are on the performer info page) and the show order will be done by our Congress stage directors in advance. There will be 1.5 hours set aside every day for teams to try their formations on stage and test the floor (2 minutes max per team). NO MUSIC, NO FULL RUN-THROUGHS This is to test the stage floor and spacing only. Times to test the stage are on the performer info page.

  • The order of the performances will be posted by 6:30pm each day in the Green Room by the stage manager.

    All groups/couples must be present in the stage holding area at 8:15pm in full costume (Confederation Room, 1 floor below ballrooms). If your group is unavailable at the stage call, you will not be allowed to perform. Shows will start each evening at 9:00pm sharp and run approximately until 11:00pm.

    The stage itself is approximately 28’ x 20’ (length x depth).

    For Sunday Afternoon show, all performers must be present in the Concert Hall (there is no holding room) at 2pm in full costume.
